It should be mentioned this is a challenge game. So the reserve rules are slightly different as well.
Clock is paused at 100/200 just before the break for 20 mins. Any reserves (alternates is actually the term) not seated by this time are refunded their buy-in and unable to play. The reason for this is because with a 9000 start stack (2 passports obv.) coming in super late is not much of a disadvantage with blinds only 200/400 after break. It is more of a disadvantage to be there at the start and playing the whole time.
Squeezing an extra player onto a 8-seater is something I will do whenever I have a similar situation, if i'm on my own.
Obviously situations differ, but at my regular Challenge game, setting up another table after a game has already started requires moving furniture, setting up the table, chairs, chip stacks, decks, and equalizing the tables. About 5 mins of work if uninterrupted.
Which does not happen that way. Passports to be redeemed, situations to supervise etc. means it can take up to a whole blind level to organize. For 2 players. It does not make sense. Playing 9-handed in tournaments is completely normal. Playing with 1 more player than the tables around you is completely normal. It means the game does not increase in length, and is very easy to equalize when players do get knocked out. (Murphy's law - Create a new table, you'll end up breaking it in 5 mins. Don't create a new table, you'll have reserves for an hour.)
Just because the table is designed as an 8-seater does not mean 9 can't play on it.
Marc, I put a question to you. I don't know if you have seen this situation before.
2 venues I have set up or have to use their 10-seater final table at the beginning of the game. To keep things even I always set these tables up as 8-seaters.
If I have 2 reserves, would you be against adding 2 stacks to that table and having it as a table of 10, while all the others play at 8?

Not so simple.
Let's say you have 50 runners with 6 tables set up. Easy to say well set up a 7th table and have 1x8, 6x7.
Well at 7:25 you may only have 45 runners. Would you still set up another table even though you still have 3 spots left open?
Setting up extra tables is not as simple a solution as it sounds sometimes boys. Please note every example I'm saying has only 1 staff member working. Any game with 2 staff, the only excuse is lack of space or equipment. And even then I still would sometimes just run reserves for 1 or 2 players, depending on the situation.
